Terms of Service

1. About these terms

These terms form an agreement between you and Matthew Fiddler trading as The Salon Desk, the operator of The Salon Desk. By registering or using the service, you agree to them.

The Salon Desk is a business-to-business service for self-employed hairdressers, salon owners and others using it mainly for a trade, business or profession. You confirm that you are acquiring it for business purposes and may enter this agreement.

2. The service

The Salon Desk provides tools for client and colour-card records, services and appointments, inventory and restocking, supplier-order preparation, takings, connected payment records, expenses, receipts, estimates and downloadable reports.

We may improve or change features, provided that we do not materially remove the core paid service without reasonable notice.

3. Not professional advice

The Salon Desk is a record-keeping and estimation tool. It does not provide accounting, tax, legal, medical, stock-control or financial advice and is not a substitute for HMRC guidance or qualified professional advice.

Estimates, supplier prices, promotions and stock-readiness indicators can be incomplete or out of date. You remain responsible for checking records, product suitability, supplier terms, stock quantities, tax submissions and payments.

4. Your account

  • Provide accurate and current registration and business details.
  • Protect passwords, passkeys, recovery codes and devices.
  • Tell us promptly about suspected unauthorised access.
  • Only give access to authorised people within your business.
  • Remain responsible for activity performed through your account unless caused by our failure to use reasonable care.

5. Trial, subscriptions and payment

Eligible new accounts receive the card-free trial shown during registration. It does not automatically become a paid subscription. When it expires, application access is restricted until you subscribe or receive complimentary access.

Monthly plans renew monthly and annual plans renew yearly unless cancelled. The price and billing period are shown before payment. Stripe securely processes subscription payments.

We may change prices with reasonable advance notice. A change applies from a future renewal and you may cancel before then.

6. Cancellation

You may cancel through the Billing page and Stripe customer portal. Cancellation stops renewal and, unless stated otherwise, access continues until the end of the paid period.

7. Your records and client information

You retain ownership of information and files you enter. You permit us to host and process them only as needed to provide, secure and support the service.

You are responsible for:

  • The accuracy and legality of records, including client details, appointments, colour cards, receipts and financial information.
  • Giving clients an appropriate privacy notice and having a lawful basis for their information.
  • Avoiding unnecessary health or other sensitive information.
  • Checking services, formulations, stock, supplier products, prices and reports before relying on them.
  • Exporting and retaining records required by your business, accountant or HMRC.

8. Payments and suppliers

Stripe connected accounts and Tap to Pay are separate Stripe services. Stripe’s terms, eligibility checks, fees and account restrictions apply. The Salon Desk does not hold salons’ customer-payment funds.

Supplier searches, product images, links, prices and promotions are provided to assist ordering. Confirm the exact product, variant, availability, price, VAT, delivery charge and promotion terms with the supplier before buying. The Salon Desk does not place or fulfil supplier orders unless a feature expressly says otherwise.

9. Acceptable use

You must not use the service unlawfully or fraudulently, upload malicious or infringing material, access another user’s records, bypass security, unreasonably overload the service, or resell it without permission.

10. Availability and third parties

We aim to provide a reliable service but cannot guarantee uninterrupted or error-free availability. Maintenance, internet failures and third-party outages can affect it. Third-party services such as Stripe, Laravel Cloud, Cloudflare and supplier websites have their own terms and privacy notices.

11. Intellectual property

The software, design, branding and documentation are owned by us or our licensors. You receive a limited, non-exclusive and non-transferable right to use the service during an active trial or subscription.

12. Our responsibility

Nothing excludes liability where exclusion would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

Subject to that, we are not responsible for indirect or consequential loss, lost profit, lost business, lost savings, or loss caused by inaccurate user data, supplier information, failure to retain exports or reliance on an estimate.

To the fullest extent permitted by law, our total liability arising from the service in any 12-month period is limited to the subscription fees you paid during that period.

13. Ending the agreement

You may end this agreement by cancelling and requesting account closure. We may suspend or end it for serious or repeated breach, unlawful use, non-payment or security risk. Export records you need before closure.

14. Changes, law and contact

We may update these terms for service, security, legal or regulatory changes and will give reasonable notice of material changes.

These terms are governed by the law of England and Wales, whose courts have jurisdiction unless applicable law requires otherwise.
